General information

Where will I find the online booking facility?

The online booking facility is available to you in the customer section of myKOMBIVERKEHR.
You need access to myKOMBIVERKEHR in order to use the online booking and your company must be registered for online booking.

How does the online booking work?

All important information about the online booking you can find in the document "What you need to know about the online booking".

Does existing access to myKOMBIVERKEHR also apply to online booking?

If you already have access to myKOMBIVERKEHR there is no need for you to register again in order to use the online booking facility. 

Please note that you have to use the same email address during the registration process that you used for your log-in for myKOMBIVERKEHR. The email address has to be personal/individual. Collective addresses are not allowed for the Kombiverkehr online booking.

Who can use the online booking facility?

All Kombiverkehr customers can use the online booking facility. They simply have to register beforehand.

How do I register for myKOMBIVERKEHR?

You will find the login area for myKOMBIVERKEHR on our portal my.kombiverkehr.de. You can login by entering your email address and your password. You can register in this way if you still have no access to myKOMBIVERKEHR.

Online booking forms

What do I need to do with companies I book for or which book for me?

Do not forget about the companies that make bookings for you. Kombiverkehr needs you to provide a booking authorisation for these companies. They must then register for the online booking facility themselves. If you make bookings for another company, Kombiverkehr needs this company to provide a booking authorisation for you.

Supervisors and users

What is a supervisor and what is his/her role?


The role of the supervisor is to designate employees for online booking at the respective business location, set them up in the system and assign rights of use. At no time during the process of assigning authorisations and rights of use will Kombiverkehr intervene: full responsibility for this process thus lies with the company alone. A user management facility has been added to myKOMBIVERKEHR so that individual users can be set up for online booking and assigned rights of use. Only the supervisor has access to this after successfully logging in.

Within the application, new users can be applied for and existing ones assigned a right to use the online booking system. To authorise one or several supervisors please use the Supervisor form. The registered supervisor is cleared by Kombiverkehr, and is then able to access the user management and online booking facilities.

Can a supervisor make bookings him-/herself?


Yes. A supervisor is of course able to make bookings. To do so, all he/she has to do is to assign the right to use online booking to him-/herself in the user management.

Can I designate several supervisors?


You actually need to designate several supervisors if your company has several sites. If not, it still makes sense to designate at least two supervisors to cover holidays and sick leave.

What do I do if a user leaves my company?


If an online booking user leaves your company, the supervisor can simply delete him/her in the user management function. Please send an additional notification to Kombiverkehr (Team Adressen), so we can delete him/her from our system.

 

What do I do if a supervisor leaves my company?


Please use the Supervisor form to notify Kombiverkehr if a supervisor leaves your company, so that he/she can be removed from the system. A supervisor cannot be deleted without a signature from the management. It is advisable to send a new form to register a new supervisor at the same time.

As a supervisor, how do I assign the right to online booking?


There is a list of all added users in the user management function in the myKOMBIVERKEHR section. The respective user profile can be opened via "Edit" and a tick must then be placed alongside "online booking". The supervisor also needs to follow this procedure if he/she would like to make online bookings him/herself. The user to whom a right has now been assigned is automatically informed by email and can use the online booking facility from this point in time. To do so, it is necessary to register the user for myKOMBIVERKEHR with the same email address as the one saved in user management.

How do I add new users to the online booking system?


New users of online booking can be added by a supervisor. A supervisor can access the user management function in the myKOMBIVERKEHR section to designate new users, set them up in the system and assign rights of use.

The "Add user" function allows more users to be set up for online booking. An application form will open here and must be completed in full. After sending the form, Kombiverkehr will add the people specified as future users in user management and duly notify the supervisor and the user by email. All the supervisor then has to do is assign the right to use online booking to the newly added users.

As a supervisor, how do I assign the right to online booking?

How do I add a new supervisor to the online booking system?

The Supervisor form can be used to register new supervisors. This must be completed in full and sent to Kombiverkehr. A supervisor cannot be registered without a signature from the management. The supervisor must be allocated to the business location where he/she works, along with the relevant UIRR customer number. Another form must be used to add more supervisors.



Technical questions

Even if you log in successfully to myKOMBIVERKEHR, the online booking facility will not be displayed.

You must first register in order to use the online booking facility via myKOMBIVERKEHR. If your company is registered, it is likewise necessary for a supervisor to assign a right of use for online booking. This is done via the user management function, to which the supervisor has access. If this has been done and the online booking facility still fails to appear, please contact our service hotline.



Booking processes

Who is allowed to make bookings for my company?

Bookings can be made by those employees in your company who have been given the right to use the online booking system. This permission is assigned by the relevant supervisor at your business location by means of the user management facility on myKOMBIVERKEHR.

How can I cancel or amend orders and how are they then displayed in the online booking system?

Once a booking has been completed, the shipping orders for the respective loading units can be viewed under "Completed orders". Schedulers can amend or cancel orders under "Completed orders". It is not possible to amend times of delivery or booking information (e.g. stations or participating forwarders), however.

What is the difference between booking time, delivery time and pick-up time?

The booking time includes the time of delivery of all loading units within the booking and must always be specified as more than one day. The delivery time and pick-up time refer to the individual loading unit and must lie within the previously selected booking time.

Which Terminals can be booked with the online booking?


All Terminal locations which are available for the online booking you can find in the document Terminal Locations available for online booking. Bookings from start terminals from the Kombiverkehr service offer which are not listed in this map are to be made by the relative partner company. The contact details you can find here.

Why am I unable to select my departure/destination station?

It may be that your company does not have the corresponding transport approval or booking authorisation. Please ask your contact person in Sales at Kombiverkehr.

Which routes cannot be booked even though my business has transport approval and the necessary booking authorisations?

Routes may only be booked if they are in the range of products offered by Kombiverkehr. Furthermore, Kombiverkehr has to be responsible as a company for the acceptance of the booking at the departure station. If any of these points does not apply, this route cannot be booked via Kombiverkehr's booking system.

For more information on the company responsible for the acceptance of the booking at the terminal, please select the desired route under the following link. Please then click on the departure station. You will find the responsible company at the terminal within the terminal details.

Why am I unable to select my sender/receiver?

It is likely that you have not yet provided Kombiverkehr with a transport authorisation for this business partner to act as sender/receiver. Transport authorisations can be saved for a location, a specific route or a specific country. Please ask your contact person in Sales at Kombiverkehr about this.

How can I make a booking on behalf of a partner organisation?

Kombiverkehr needs a written booking authorisation from the partner organisation for this purpose. Please speak about this matter with your chosen partner organisation.

Can I book without loading unit numbers?

This is possible in principle if the loading unit is delivered by road. However, it is absolutely essential to give a customer reference in order to identify the shipment. Booking without loading unit numbers is not possible if the loading unit is delivered by ship, ferry, rail or storage.

How can I amend the master data for loading units?

If you notice that incorrect loading unit information is stored in the Kombiverkehr database, please send us an email with the correct data to le-stammdaten@kombiverkehr.de.

How do I send a booking?

After saving the last order information you can start the send booking process via the "To overview" selection field. You can then send the booking in an intermediate step via an overview page containing your booking and order information.

How do I prioritise my orders if I have several orders in one booking?

If certain orders within one booking are more urgent than others, you have the option of prioritising them within the comments field.

Why am I unable to send my booking?

The booking cannot be sent if essential information for one or several orders is missing. An "exclamation mark" appears next to incomplete orders in the overview on the right-hand side of the screen. Please open the orders and add the missing information.

Can I add several loading units to one booking?

Yes you can. After entering and saving the order information for a loading unit, you can use the "Create next order" selection field to add another loading unit or to duplicate the existing order.

Can my entered data get lost?

No. All the entries you make are temporarily saved in the online booking system so that you have access to them even if you are interrupted. You will always find the data under "Started bookings" by going via the homepage of the online booking system.

How will I find out if my order information has been changed by Kombiverkehr?

You can monitor changes in the status of your loading unit under the "Completed orders" tab. As soon as any amendment is made by the relevant agency a "warning sign" will appear, which you can confirm.

Will I receive a booking confirmation and how many recipients will this go to?

After being checked by the relevant agency, a booking confirmation will be sent out in the form of a confirmation of receipt to the stored email address. The stored email address is shown under the contact details in the booking process. There is also the option of giving an additional email address in the actual booking process. Please ask your contact person in Sales at Kombiverkehr if you wish to amend the stored email address.

How will I know that Kombiverkehr has accepted my booking?

After processing by the relevant agency, you will be sent a confirmation of receipt at the email address stored by Kombiverkehr. You will also be able to view the current status of your booked loading units under "Completed orders".

What other booking options are available to me?

As an alternative to online booking, you can use the B2B interface to book orders directly from your IT systems. Please contact our IT department if you are interested in doing so.

During a transition period you also have the option of booking orders by the methods used to date, namely fax, email or the previous online booking system. Please note, however, that the modified online booking facility will be the only option at a later date, alongside the B2B solution. We therefore advise you to switch to the modified online booking system or booking via the B2B interface in good time.

Up to what point in time can I cancel an order?

An order can be cancelled via the online booking system until the point at which the relevant loading unit has "delivered" status. Please contact the relevant dispatch agency if a cancellation is necessary between the delivery of the loading unit and the closing time for acceptance.

How can I book regular shipments more quickly?

Recurring shipments can be booked more quickly and efficiently by creating a template. Booking information and some order information can be saved in a template, thus saving you valuable time.

Please note that information on hazardous goods and customs cannot be saved in a template as updates may be necessary.

Which routes cannot be booked even though my business has transport approval and the necessary booking authorisations?

Routes may only be booked if they are in the range of products offered by Kombiverkehr. The responsibility for the clearance of the train at the departure station must also lie with Kombiverkehr. If any of these points does not apply, this route cannot be booked.
